Information for Caretakers

general info

Caretakers who provide Personal Care Services (PCS) or Home Health services (HHCS), which fall under the provisions of the 21st Century Cures Act, are required to document their in-home care visits using an Electronic Visit Verification (EVV) system. Caretakers will use PCG’s EVV mobile application, Careify, to clock-in and clock-out of in-home visits and perform service documentation duties.

A Tool built for you

The Careify mobile application was designed with the Caretaker, and their needs, in mind. In the mobile app, Caretakers can:

  • Navigate through an Agency-specific member directory to start a visit.

  • Easily clock-in and clock-out, creating an electronic timesheet.

  • Track service renderings using an auto-populated task list .

  • Document visit happenings or Member feedback using the notes feature.

Phased Implementation Approach

EVV implementation will progress little by little throughout the State. This method will avoid the confusion that often characterizes a statewide implementation occurring on a single day.

As a result, your Agency, or even your location, will have a unique implementation date that may differ from those around you. Be sure to follow the instruction and deadlines provided to you by PCG to avoid any confusion.

Software & Hardware required

We employ a “Bring Your Own Device” model, which means you bring the hardware, and we’ll bring the EVV system.

Active Email Account is required

In order to utilize the Careify EVV system, you must associate an email address with your account. Most often, this is a work email address, but you could use a personal email address, too.

Your email address will serve as your Careify EVV system username for both the web portal and mobile application.

Be sure you can access your email from your phone. This is essential while completing setup of your Careify mobile application account.

Mobile Application Users

In the same way that a mechanic needs tools, it’s essential that you have your own smartphone in order to use the EVV system. Your smartphone must comply with the hardware and software requirements below:

Mobile Phone Hardware Requirements

  • iOS Phones (iPhone 5 thru iPhone X may be used)

  • iOS Tablets (iPad Air 2, iPad mini 3-4, iPad Pro, iPad 2017-2019 may be used)

  • Android Phones (5.0 Lillipop may be used)

Mobile Phone Software Requirements

  • iOS, Version 10.0 or higher

  • Android, Version 5.0 (Lollipop) or higher

Caretakers will download the Careify mobile application from their smartphone’s application store (e.g. AppStore or Google Play). To download the Careify app, be sure you have the email address / password associated with your app store account.

Before you can log into the Careify mobile application, your Agency will take several steps to ensure proper setup of your account. As a Caretaker, you will only need to take a few steps. Find out more below.

On-boarding and account setup will begin in August of 2019. However, depending on your Agency’s unique implementation date, you may not begin on-boarding until late fall 2019.

We’ll communicate with your Agency directly regarding your on-boarding start date and implementation date.

Go-live of EVV in Arkansas officially begins in October. Implementation is set to complete by January of 2020 in compliance with the mandates of the 21st Century Cures Act.

Step-By-Step process for On-boarding

PCG will work with the Arkansas DHS, Agencies, and other relevant stakeholders to exchange and obtain the necessary data to on-board Caretaker users into the Careify EVV system.

Step 1: Data Gathering

Be prepared to provide your Agency point-of-contact with the email address you wish to associate with your Careify account if you do not plan to use a work email address.

Step 2: Data Validation

PCG will work with your Agency to make sure the data we received matches the data stored in state databases. No action is required by Caretakers at this time.

Step 3: Data Entry

After Agencies capture the required data, they will manually enter Agency and Caretaker users into the Careify EVV system through the web portal. No action is required by Caretakers at this time

Step 4: Complete Setup

After Caretaker users are added to the system by their agency, Caretakers will receive a welcome email from Careify inviting them to complete their account setup.

The welcome email will guide you through the process of downloading the Careify mobile and creating a password. After that, you’ll be free to begin using the app.
